Privacy Policy
Last updated: 4 September 2026
1. Who We Are
Parkwood Fencing & Decking ("we", "us", "our") is a fencing and decking business based in Medway, Kent. This policy explains what personal data we collect through this website, how we use it, and the rights you have over it.
For any questions about this policy or your data, contact us on 07563 015571 or via our contact page.
2. The Personal Data We Collect
We collect personal data when you voluntarily submit it through our website contact form, which may include:
- Your name
- Your phone number
- Your email address
- The service you're enquiring about
- Any details you include about your project
We do not knowingly collect any special category data (such as health information) through this website, and we ask that you don't include this in your enquiry.
3. How We Use Your Information
We use the information you provide to:
- Respond to your enquiry and discuss your project
- Arrange a site visit or provide a quote
- Carry out any work you go on to book with us
- Keep basic records for accounting and legal purposes
We do not use your data for marketing unless you've separately agreed to that, and we do not sell or rent your personal data to any third party.
4. Our Legal Basis For Processing
We process your data on the basis of:
- Consent — when you submit our contact form, you're consenting to us using your details to respond to your enquiry.
- Legitimate interest — to respond to enquiries and provide quotes as part of running our business.
- Contract — where you go on to book work with us, to carry out and manage that contract.
5. How We Store & Protect Your Data
Enquiries submitted through our contact form are sent directly to our company mailbox at info@parkwoodfencing.co.uk. We do not currently store submissions in any separate database or third-party CRM — they're simply received and responded to as email.
We take reasonable steps to protect any personal data we hold from unauthorised access, loss or misuse.
6. How Long We Keep Your Data
We keep enquiry details for as long as reasonably necessary to respond to you and, where a job goes ahead, for as long as needed for accounting, warranty and legal purposes — typically 6 years, in line with standard UK tax and accounting record-keeping requirements. If your enquiry doesn't go ahead, we'll only keep your details for a reasonable period in case you get back in touch.
7. Sharing Your Data
We don't share your personal data with third parties for their own marketing purposes. We may share limited information with:
- Trusted subcontractors or suppliers, only where directly necessary to carry out work you've booked (for example, coordinating a specialist for electrical work on a garden structure)
- Our accountant, for bookkeeping purposes
- Authorities, where we're legally required to
8. Cookies & Third-Party Services
This website uses the following third-party services, which may process limited technical data as part of how they work:
- Google Fonts — used to display the typefaces on this site.
- Google Maps — embedded on our area and contact pages to show where we cover.
These services may be provided by Google and are subject to Google's own privacy policy. We don't currently use website analytics or advertising cookies on this site — if that changes, we'll update this policy.
9. Your Rights
Under UK data protection law, you have the right to:
- Ask what personal data we hold about you
- Ask us to correct inaccurate data
- Ask us to delete your data, where we're not required to keep it for legal reasons
- Object to how we're using your data
- Ask us to restrict how we use your data
To exercise any of these rights, contact us using the details above. You also have the right to complain to the Information Commissioner's Office (ICO) if you're unhappy with how we've handled your data.
10. Changes To This Policy
We may update this policy from time to time, for example if we add new features to the website or change how we handle enquiries. Any changes will be posted on this page.
